Our API team has just deployed its newest feature to improve translation customization and accuracy: context parameter. Following its initial alpha release, the context parameter feature is now fully operational and available to all API users. The context parameter feature provides users with greater control and flexibility within the API, allowing them to add additional context within their text translation requests. This feature is particularly useful for short, low-context sources such as product names, descriptions, or article headlines—instances where translation can be improved through additional content surrounding the request. The feature received positive feedback from early adapters such as Weglot and Kicktipp—and we have now moved the feature to general availability within DeepL API. The context parameter feature is easy to use and extremely effective in further improving the quality of translations. When making a text translation request, users should include a single parameter that provides additional context for the text to be translated. The context itself is not translated—only the requested text—allowing for greater precision and accuracy in the output. As with all of DeepL’s translations, this feature enables effective translations across industries—and is particularly beneficial for e-commerce platforms, where precise naming conventions or product descriptions are paramount to a positive sales experience. Founded in 1997, Cybozu Inc. develops and provides team-driven groupware to support collaboration, based on its corporate philosophy: "Building a society brimming with teamwork." Recently, we sat down with Shuichi Suzuki, Cybozu’s Head of IT, to learn more about the company’s global market expansion and vision for the future—plus, how Cybozu leverages DeepL’s AI translation to improve company communication and collaboration. I’m the general manager of the Information Systems Department of the Operations Division for Cybozu Inc. The main duties of the Information Systems Department include internal system design, construction, and operation. Specifically, the Information Systems Department consists of three teams: My role is to organize all three teams. Cybozu has two businesses: groupware products and teamwork enhancement solutions. For groupware, we develop, sell, and operate four products: Kintone, Garoon, Cybozu Office, and Mailwise. As a developer of groupware used for sharing information among teams and organizations, we are committed to our purpose: "Building a society brimming with teamwork." We’re developing Kintone for overseas markets in various countries and regions, including the USA, Australia, China, Taiwan, Malaysia, and Vietnam. We’re also hiring people regardless of their nationality or mother-tongue—recruiting overseas members in Japan. This is based on the idea that, if we’re going to create a product that will be used in diverse markets, we need to understand them. For some development teams, whether a candidate is a Japanese national or speaks Japanese doesn’t matter anymore. We have a global presence, with offices in Vietnam, China, and the USA. At each location, there are more members from each country than Japanese-speaking members. So the language of communication differs depending on the location. In Vietnam, communication is in Vietnamese—in the US, it’s English; in China, it’s mainly in Chinese; in Japan, it’s Japanese. However, when viewed as a whole, the proportion of Japanese-speaking members is inevitably high. Therefore, much of the communication on the groupware is conducted in Japanese. Thus, many non-Japanese team members weren’t able to read documents and found it difficult to participate in discussions. This is why we started to consider translation tools, as we felt that we needed to provide support that would remove any language barriers. The most important thing was that we knew from ‌publicly available data that DeepL’s ‌security standards would be high. I think it was more than four or five years ago that we first considered introducing a translation tool. However, most tools at the time were using the input data to improve their translation systems. DeepL, on the other hand, has always stated that it promptly deletes input data and handles it securely. As an Information Systems Department, we’re more concerned about security and ease of operation than usability. We started considering DeepL as the tool that seemed to be the best in terms of security. Many users say that the translation results from DeepL are more natural-looking than those from other companies. Other translation tools are said to provide translations that seem blunt or sentences that sound like example sentences. Another problem was that users were unable to judge whether they could use the translation results without editing, and they had to be careful. For example, they needed to translate back or look up each word. DeepL has a high reputation for translation accuracy, and the translation results can be used as they are. As a result, many of our employees now use DeepL. The other thing people say is that the desktop application is very easy to use. It seems that everyone uses the shortcut keys to immediately start a translation.
 We have a lot of engineers involved in development, so it's also good that there are shortcuts and that it's easy for developers to use. I use DeepL to translate specifications and email enquiries.
At the moment, we’re providing support for products for overseas markets, so we use it for some of those translations as well. In our company, all internal communication is basically done on Kintone.
We also use DeepL to translate manuals and FAQs created in Kintone into English. Additionally, we use the browser extension to translate entire pages. Before company-wide implementation, we had several teams using paid DeepL subscriptions. Additionally, almost everyone knew what DeepL was, so there were not many major challenges regarding implementation. Our internal rules required us to use the paid subscription DeepL for security reasons, but we left account management and contracts to the users. This time around, the Information Systems Department put together a company-wide rollout with a policy of granting licenses to members who wished to use them. In terms of management, we were able to introduce the system in a way that reduces the burden on the Information Systems Department while also providing significant benefits to the users. This was a major point of the project. For example, SSO allows users to self-sign up and create their own accounts, and when the account limit is reached, the system automatically deactivates unused accounts. Rather than ROI, DeepL is being introduced this time as a solution to a visible challenge. In this case, the language barrier is an issue that is increasingly being felt within Cybozu. As the number of members whose first language is not Japanese has increased, there are people who cannot understand the message unless it is written both in English and Japanese when it is posted to the entire company. Also, there are cases in everyday communications where discussions cannot be conducted unless English is used. The Information System Department is introducing tools to provide support so that everyone can understand communications. In terms of ROI, I think it's not impossible to show how much time spent on translation and communication has been reduced. I certainly feel the effects. However, what I feel is the other effect of the introduction of DeepL is that, at the moment, it has made it easier for overseas team members to reach out to me. When my comments are written in the member's native language, the content is understandable and the nuances can be conveyed. It makes it easier for everyone to consult with me, and I often feel that the so-called language barrier has decreased. It’s difficult to know whether this is true or not, but I think that DeepL provides a positive impact on our communication that cannot be quantified. From an IT perspective, we want to reduce information and location disparities as much as possible. When a company is trying to compete globally, it’s often said that it’s important to be able to work anytime, anywhere. However, what I feel recently is that "with anyone" is also becoming more important for our company. After the Covid-19, many companies began working from home, and it’s no longer unusual to be able to work anywhere, anytime. So what comes next in importance at Cybozu is “with anyone.” The first problem that arises when working with a diverse group of people with different ways of thinking is the language barrier. I think that if that barrier is eliminated, a new way of working will become visible. By sharing information and communicating globally, we can develop new ideas that we would not be able to come up with if we only communicated in Japanese. Cybozu is entering the phase of "anytime, anywhere, with anyone." I think the first step towards promoting this setup is to enable people with different languages to communicate with one another. Recently, we sat down with Kazuki Hiroshima, to learn more about how Daiwa Securities is accelerating digitalization and leveraging DeepL’s AI translation to expand internationally. Within Daiwa Securities Group Inc., I belong to the Digital Promotion Department, which was established in October of 2023. Created with a strong desire to accelerate digitalization, this department is under the direct supervision of the CEO. Daiwa Securitie’s main areas of business are investment and financial services, with security at its core. Lately, we’ve been expanding our business not only in Japan but also in the Americas, Europe, Asia, and Oceania. As for my own career, after having worked as a project manager at a foreign-owned IT company, I joined Daiwa Securities in 2016. During my previous career, I worked on projects with overseas stakeholders implementing and integrating systems in various countries, such as Europe, the U.S., and Asian countries. Because of this background, bringing Japan to the level of efficiency of such countries has become my mission and main area of research. Thanks in part to my overseas experience, when I joined Daiwa Securities, I was involved in global regulatory projects. I’ve also been involved in the field of risk management, as well as corporate systems, such as human resources and finance. Most recently, I’ve been involved in a wide range of advanced technologies and business reforms in digital transformation. Since October 2023, I have been a member of the Digital Promotion Department. A few months have passed, and while some things feel the same as they did at the beginning, there are other aspects that feel different now. I had assumed that the Digital Transformation initiative was mainly about IT technology. But as I started this new role, I began to feel that the initiative was more of a push-back against existing culture and history. Most IT technology originates in Silicon Valley and other cutting-edge places around the world. So, what we as Japanese companies need to do is to take the technology that has been created or is being created and apply it to our own operations. In doing so, we need to consider which parts of our business we deliver impact for, how we deliver impact, and how we make decisions. This is where I feel we often face the barriers of the unique Japanese culture, for better or worse. One of the characteristics of Japanese companies, in terms of employment, is a culture of collective hiring of new graduates and generalist training. There’s also a high degree of difficulty in adjusting the payroll. Thus, IT functions are often outsourced rather than done in-house. There’s still a mindset of buying IT functions rather than creating them ourselves. I also sense that Japanese companies have a distinct way of thinking about quality. This is largely due to the fact that Japan's postwar recovery was centered on the manufacturing industry. Japanese manufacturing has thrived thanks to a culture that places an overwhelming emphasis on the "Q" (quality) and "C" (cost) of QCD (Quality, Cost, Delivery). However, it doesn’t place much importance on speed of delivery. That makes sense in manufacturing, since many things are related to safety. On the other hand, in software, the "D", or speed of delivery, is important. I think it’s necessary to increase the number of people who understand the importance of speed. Many employees feel that the world is moving toward digital technology and that it’s appropriate to move in this direction. This department has been set up with the support of the CEO and the management team. Nevertheless, we are a regulated industry, and we’re not in a position to change anything for our own interests. We need to think about how we can use digital technology to be competitive within the scope of existing regulations and are constantly working to improve this issue. Currently, we’re also making moves to focus on specific areas, for example, translation and speech-to-text. This is something we’re thinking about every day—looking at both the big picture and specific activities. Few IT and business companies can talk about technology without talking about generative AI. When I was in Silicon Valley last year, every IT company talked about generative AI—even if we didn't ask for it. I felt this was definitely the center of the technology trend. In terms of how to use it, while we currently have generative AI as a core technology, the scope of its use is still limited with its current functionality. We’re working on how to utilize the functionality of generative AI as it continues to develop by linking it with our internal and external data as it grows. We cannot say that all of them use it, but we have created an environment where they can use it. The reality is that some people use it frequently and others do not—depending on the nature of their work. About 10% of our employees use it at least once a day. As an example, when planning a project, you can ask ChatGPT questions such as, "I want to take this kind of initiative, but what is the approach we should use?” I also asked, “what aspects should we consider to streamline our digital transformation work?” It gave me about five answers, including organizational structure and technology. I was impressed. Also, since we are a financial institution, programming is done onsite. We use it for coding, and it works well. When we do data analysis, we give ChatGPT instructions like, "I want to cleanse the data, so write the code.” Since our company is expanding internationally, we have a lot of communication with our overseas offices. Even within Japan, for example, there are wealthy Chinese customers, and the company has sales staff who deal with them. To communicate, we have to overcome language barriers. There have been translation tools available to translate words and sentences, but with DeepL, I can translate whole document files. I find great value in that, as it’s led to a considerable increase in my own productivity. There are two main reasons. The first (and most overwhelming) reason is the ability to translate on a file-by-file basis. The other is the glossary feature. In terms of being able to do both of those things, DeepL was the best choice we could find. We also compare tool accuracy. It’s a qualitative point, but we often hear within the company: "DeepL is highly accurate and easy to use." DeepL has directly contributed to improved productivity. For example, when we need to publish Investor Relations (IR) materials in both English and Japanese at the end of our business year, the effort to publish the English version has been reduced. As a result, ‌speed has also increased. After releasing IR materials, we need to post the Q&A sessions we had with investors and analysts on our website. We use DeepL to create Japanese and English versions simultaneously, which has helped speed up this workflow. Before using DeepL, there were cases where we had to outsource the work to a contractor. The introduction of DeepL has enabled us to produce the work in-house, which, I heard, has reduced our workload, including costs. The ability to translate files is by far the best and the translations are highly accurate. Also, the ability to set up glossaries is very practical. The future outlook is also very good, as DeepL is planning to expand into the audio domain. For the most part, the process remains unchanged. However, with edit mode, you now have the option to edit your translation before downloading it. To use edit mode, follow these simple steps: From here, a new window will open—displaying your file’s original text on the left side and the translation on the right. To edit your translation, simply apply any changes directly to the text field on the right side. After you’ve finished editing your translation, click Done at the bottom of the window to download your edited file translation. If you’d rather download your translated document without edits, you can do that, too. Simply click on the arrow next to the Done button and a menu will appear with two options: To download without any of the changes you made, choose “Download without edits.” That’s a great question! When using edit mode, you can also use the following features: To experience the full flexibility of edit mode, be sure to test out these handy features and further customize your translated files. Edit mode is available for DeepL Pro subscribers (Starter, Advanced, and Ultimate) with files that contain less than 50,000 characters. Additionally, edit mode currently supports .docx, .pptx, .pdf, .html, .txt, and .XLIFF files. We’re working hard to improve and expand edit mode’s capabilities, and we’ll provide updates when anything changes.
